Steps to Take

Before using a new tool or product with students, make sure to check the following:

  • Start with Codex
    • Look up the tool in Codex to see if it’s already in use.
  • Accessibility
    • Accessibility is required for all tools used with students, staff, or parents. The tool must be usable by individuals with disabilities, and proof is required. If it is not accessible, an exception must be filed with the state. Your principal is responsible for this process. This must be posted in Codex.
  • Curriculum Alignment
    • Talk to a Curriculum Coordinator to see if there’s already a district-approved resource that meets your need. There may be a better fit already available—and you might even be able to get training and support for it.
  • Cost
    • If the total cost is over $5,000, your principal must work with Procurement.
  • Student Data Privacy
    • If the tool collects any student data (including creating student accounts), your principal must work with Legal and submit a Codex request.
  • Technology
    • If considering equipment not acquired through Technology Services that connects to the network, submit a Codex request.
  • Safety
    • If there are safety concerns (fumes, heat, etc.), check with Risk Management.
